Background
The Waystation is an internal intranet site designed to serve as a centralized hub for storing, organizing, and accessing approved content and resources across the organization. Streamlining these materials will improve quality and ensure consistency in messaging and brand across the company.
Objectives
- Establish a Single Source of Truth: Create a centralized, self-service platform that consolidates all approved content, templates, and resources across teams and business units
- Ensure Brand Messaging and Consistency: Support consistent external and internal communications by providing access to up-to-date, approved assets including brand guidelines, templates, and educational content
- Improve User Experience: Minimize duplicative efforts and reduce errors by making official, high-quality content easy to find and reuse
- Increase Quality and Governance: Improve the overall quality of materials in circulation by standardizing review and approval processes prior to content publication
Strategy
- Establish a project committee by identifying key contacts in each business unit and the necessary web development team
- Conduct discovery calls with each key contact or department to determine minimum viable product (MVP) for launch
- Development team builds drafts of each MVP page and launches a submission form for key contacts to submit update requests for their pages
- Launch intranet with internal announcement and training meeting- host quarterly meeting with committee after launch to ensure everything is still working as planned
